7 - Microsoft Service Account: Power Automate & Online Tool Integrations

This guide walks through creating a single Microsoft service account that can support up to three separate, independent integrations. Not every client needs all three integrations. Use the table below to confirm which sections (if any) apply to your organization.  None of these integrations are required to run QorusDocs. Set up only the ones your organization plans to use.

Prerequisites

  • Global Administrator or User Administrator permissions in Microsoft 365.
  • Access to the Microsoft 365 Admin Center and Azure Active Directory.

     


 

Service Account Creation 

  1. Sign in to the Microsoft 365 Admin Center with Global Admin credentials.
  2. Go to Users > Active Users > Add a User.
  3. Username: QorusDocsServiceAccount. Set a strong password and require a password change at first sign-in.
  4. Roles: No admin roles. Don't assign any additional roles here — specific integrations add specific permissions later.  Keeping the account role-free and minimally licensed by default reduces cost and security exposure — each integration below adds only what it needs.
  5. Licenses and apps: assign the license(s) needed for the integration(s) you're setting up (see table above and the relevant section below).

     


 

Section 1: Content Approvals

Automates document review and approval workflows in SharePoint using Power Automate — for example, routing content to reviewers/SMEs before it's approved for use.

Setup

This integration has its own dedicated setup guide, since it involves its own environment, license, and role requirements. Full steps in 8 – Set-Up Power Automate for Content Approvals.

 


 

Section 2: CRM Integration

Automates writing CRM data (e.g. Dynamics 365, Salesforce) into QorusDocs Smart Lists and/or Pursuits, so proposals and other documents populate automatically from up-to-date CRM records.

Setup

  1. In QorusDocs, sign in as the service account and go to Settings > Smart Lists or Pursuits.
  2. Configure the Smart List or Pursuit that will receive the CRM data.
  3. In the CRM (or via Microsoft Logic Apps or another workflow engine), configure the export of relevant data to QorusDocs.
  4. Grant the service account Member access to the specific Smart Lists/Pursuits involved — nothing broader.

     


 

Section 3: Website Integration

Automates creating or updating QorusDocs content from data captured on a public website — for example, form submissions, leads, or registrations.

Setup

  1. In QorusDocs, sign in as the service account and go to Content Sources.
  2. Configure the integration to receive website data, scoped to the relevant Smart Lists or SharePoint libraries.
  3. Use Microsoft Logic Apps (or another workflow engine) to route captured form data into QorusDocs.
  4. Grant the service account only the permissions it needs to create/manage documents from that data.

 

Top Tips

  • Store the service account credentials in a secure password manager.
  • Document which permissions are assigned for which integration, so future admins know what's in use and why.
  • Review access periodically and remove anything no longer needed.
