Target Audience: SharePoint Admins
Before QorusDocs onboarding can begin, your SharePoint environment needs to be ready. This guide walks through setting up a new SharePoint site for QorusDocs — the recommended route for most onboardings — and covers how to confirm everything is working before you hand off to your QorusDocs Product Specialist.
Already have a SharePoint site you'd like to use ? See Using an Existing SharePoint Site.
Setting Up Your SharePoint Site
- Start in the SharePoint Admin Center, using your admin credentials.
- Select Create site and choose either a Team site or a Communication site, depending on what best fits your organization’s needs.
- Give the site a clear name (for example, “Pitch Hub" or "Proposal Hub"), set the appropriate privacy level, and assign owners and members. (NB we recommend against naming the site "QorusDocs" to avoid confusion with the QorusDocs hub).
- Add your team with the right permissions
The core team who will be administering QorusDocs need the right level of access to the site so they can fully use the tool — including creating content, managing metadata, and adjusting site settings.
- Preferred: add them to the Owners group. This gives full control of the site, ensuring they can take full advantage of QorusDocs.
- If that isn’t possible: add them to the Members group instead. This still allows them to edit content and contribute, though with more limited permissions.
NB: In addition to the core team, your QorusDocs Product Specialist will also need access.
Testing Access
Once the site and permissions are in place, confirm the team can actually do what they’ll need to do day-to-day. Log in as a team member (or simulate their access) and check the following:
- Create document libraries — needed to organize content within QorusDocs.
- Create site columns — needed to structure metadata correctly.
- Access site settings — needed to configure features for QorusDocs.
- Access the Term Store — needed to manage metadata and taxonomy.
If any of these don’t work as expected, check the team’s group membership and adjust it — for example, moving them to the Owners group if they’re currently in Members and need broader access.
Confirming Setup
Before handing things over, double-check that the site is fully configured and that the QorusDocs team’s access is applied correctly.
Then let your QorusDocs Product Specialist know the SPO environment is ready to go.
Alternative Approach: Using an Existing SharePoint Site
If you already have a SharePoint site that’s a good fit for QorusDocs, you don’t need to create a new one — you can integrate directly with that existing site instead.
The only step required is making sure the core team who will be administering QorusDocs have the right permissions on that site — the same as for a new site:
- Preferred: add them to the Owners group. This gives full control of the site, ensuring they can take full advantage of QorusDocs.
- If that isn’t possible: add them to the Members group instead. This still allows them to edit content and contribute, though with more limited permissions.
NB: In addition to the core team, your QorusDocs Product Specialist will also need access.
Once permissions are set, move on to Testing Access above to confirm everything works as expected, then Confirming Setup to notify your QorusDocs Product Specialist.
