This step helps you to choose quality over quantity setting yourself up for an easy-to-manage, trustworthy repository that drives user adoption and organic content growth.
Less is more. Too many pieces of content may hamper your team’s ability to find what they need quickly. If they must read through various versions of the same message, it takes longer to prepare a response to a waiting customer, or to figure out the subtle differences in tone or intent.
✅ When deciding what content to use, choose your last 3-5 winning proposals, pitches or RFPs.
Extract the good, reusable content from these documents and follow the rest of this framework. You can always build on your content library organically, as you engage with new opportunities. QorusDocs’ Clip function was designed specifically for this.
You may be tempted to pull all past proposals into your content library as a starting point. Searching for content through enormous past proposals, or old content that folks have curated over the years will not yield the benefits that you’re looking for in a platform like QorusDocs. The content may also be outdated. There is no quicker way to hamper adoption than finding old, outdated content, that needs additional formatting and manipulation to be usable.
✅ "Genericize" your content. Remove all customer information and ensure that the content is useful for reuse across multiple opportunities. Use placeholder text like <Customer Name> for now, where you want that information to eventually flow through into the content.
Your content should use a singular “voice”. This tone and style become part of your brand. However, your team should also be able to amend the order of information or customize for a specific audience. Provide guidelines on what messages are structured and should be used as is, and what can be amended to suit a specific opportunity or potential customer.
