Preview and re-use only the document parts you need

While working in the QorusDocs Add-ins and in Hub Central, you can preview and work with your OneDrive for Business, Microsoft Teams and SharePoint Online content, without having to first open or download any files. 
Below, we’ve illustrated an example of accessing the Preview from the Search. You can follow the same steps when working with files in your Pursuits. 

To preview a file when your view option is set to ‘List view’, click on the file name, and then on 'Preview' or the thumbnail displayed:

To preview a file when your view option is set to ‘Tile view’, click on the thumbnail displayed:

The following window will pop up on your screen, allowing you to toggle between different preview modes. You can also continue working with the document, as well as access additional controls that are specific to the preview mode, you're in, and the file type you're previewing:

Clicking on the ’more’ button (the three dots) opens a drop-down menu where you can find more ways to work with the document you‘re previewing:

In this article, we'll take you through the three preview modes available, the document info and insights views, and how and when to use each one.

1. Page preview

This is the default preview for most file types and is the one that will provide you with the most accurate representation of the file's contents.

2. Gallery preview

This preview mode is similar to the Full Page preview, in that it renders the look and feel of the file as accurately as possible. The difference though, is that you can see all the pages of the document as thumbnails at once, instead of just one page (or slide) at a time. From here, you can click to select multiple pages from documents, and insert them as images into the file you're working on. You can also use the Gallery preview to quickly select PowerPoint slides, add them to your cart, and assemble new presentations.

3. Web preview

Unlike the Page preview, the Web preview does not always provide a very accurate representation of the styling and formatting of the content. 

What it lacks in style though, it more than makes up for with ease of use. This is because we convert the file into HTML format, which is the easiest format to work with, if you want to simply click, copy and paste content - just as you would on a typical web page.

  1. Additionally, for Word documents, you can search within the preview for specific terms within the document body. On the right-hand side, QorusDocs displays a list of search result snippets, which when clicked, will jump you straight to the right place in the doc. The search term also gets highlighted in the document body so you can easily spot where we found what you were looking for.

  2. If you have access to QorusDocs QPilot, our GenAI Assistant, you will see a ‘Q’ icon on the right of the Preview screen. To learn how to use QPilot, click here.

Once you've found what you need in the doc, then it's just a matter of selecting it, and then inserting your selection, either as a rich text or a plain text.

4. Document properties

From the Preview window, you can also access the document properties information, like where the file is stored and other metadata associated with the document you are previewing. Here you can select the copy icon and copy the properties associated with the document you are working with.

5.Insights

Then, also from the Preview window, you can access the Content Usage insights collected for the document you are previewing. To learn more about Content Usage insights, click here
