When you come across any content that is suitable for a specific Pursuit Type you can use the Recommend function to link those files to the specific Pursuits and create rules to display it at the right time in a customer engagement.
Link Recommended Content to all Pursuits of a specific Pursuit Type
When viewing the results of the search (1) in your Content Source location (2), you can click on the name of the file (3) to expand the preview and view the available action button options. Click on the meatball (the three dots) (4) in the bottom corner to view even more options. In the drop down menu, you will see the option Recommend for a Pursuit Type (5). Click the Recommend for Pursuit Type option, and a new window with more options will open.
In the new window, you are presented with a list of the Pursuit Types available in your Hub. Select the Pursuit Types where you want to share the links to the selected file.
In the example above, Opportunities and RFPs are selected. This means that after clicking save, the 'Contoso Patent Template.docx' will be available on the Recommended Content tab in all Opportunities and RFPs records. In the screenshot below, the BITestingPursuit of the RFPs Pursuit Type displays the 'Contoso Patent Template.docx' on the Recommended Content tab.
Apply Smart Rules to display more relevant content
If you have created and added Smart Fields to the Pursuit Types, you can use these Smart Fields to apply filters called Smart Rules. Using Smart Rules allows your team to view the most relevant content. Note that you can only apply Smart Rules to the Pursuit Types that already have Smart Fields associated with them. If the Smart Rules button appears grey, you need to add Smart Fields to the Pursuit Type first before you can apply any Rules. To apply Smart Rules, select the Pursuit Type (1) and then click the orange 'Rules' button (2).
A new window will open where you can specify the conditions under which to show recommendations. In the first drop down, select the Smart Fields that are associated with this Pursuit Type (1). In the second drop down, select the evaluation criteria (2). In the third drop down menu, depending on the type of the Smart Field, either type in the value or select it from the menu (3).
In the example below, the Rule is set to show the document, Contoso Patent Template.docx, in the Opportunities Pursuit Type when the Sale Stage of the Opportunities Pursuit is set to 1-Qualify. This ensures that sales representatives working on the Opportunities only view the content relevant to the current stage of the Opportunity.
You can add additional conditions by clicking on "+ Add Expression" (4) and filling out the same set of fields. After applying the rules, click the 'Save' button (5).
To test if your recommended content link worked, you can navigate to one of the Pursuits where you just applied the rules to the Pursuit Type. In the example below, this is a Pursuit within Opportunities. In the Recommended Content tab, you should be able to view the content you linked if the value of the Smart Field is set to what you specified in the Smart Rule. In the example below, if the Smart Field Sales Stage is set to '1-Qualify,' your colleagues will be able to view and use 'Contoso Patent Template.docx' in the Recommended tab on the left. When the value of the Smart Field 'Sales Stage' changes this document won't show in the Recommended tab anymore.
