Smart Skills in QorusDocs empower QPilot to deliver more accurate, tailored answers by using structured metadata and context filters. By aligning Smart Skills with specific product areas, users ensure that QorusDocs delivers the most relevant, context-aware recommendations and insights for every proposal or document. This targeted approach not only streamlines the content creation process but also enhances accuracy, consistency, and alignment with organizational goals.
You can learn how to configure Smart Skills in your QorusDocs Hub here. In this article, we will show you how to determine in which Product Areas a Smart Skill is available to the user.
For example, if you create a Smart Skill that is capable of writing an Executive Summary for a proposal – this is a Smart Skill that would be most useful for users working on proposals in Word or in PowerPoint. However, it would probably not be applicable for users working in Excel, Outlook, or in the Preview window. In this case, you would want to set the Product Area for this Smart Skill to Word and PowerPoint only.
This is what we will cover below:
- Assigning Product Areas (navigation, steps)
- Overview of the Product Area Selection rules
- Best Practices
- Benefits of specifying a Smart Skill Product Area
Assigning Product Areas
One key component is assigning Product Areas—which guide the AI to focus on specific types of content relevant to your solutions, services, or product groups.
When creating a Smart Skill in QPilot, the Product Area you select determines your options for @ mentioning "This Document" and "This Email."
To select a Product Area, navigate to Smart Skills under Manage and click on Create.
Fill the fields below:
Overview of the Product Area Selection rules
- "This Email" is available only when the Outlook Add-in is selected as the Product Area.
- "This Document" is available when you select the Word, PowerPoint, Excel Add-in, or Preview Product Area.
Best Practices
If you select a combination of the Outlook Add-in with another Product Area, you will not have the option to @ mention either ‘This Email’ or ‘This Document’.
If you have already included an @ mention in your Smart Skill prompt and later make a change that conflicts with the selected Product Area, you will receive an error message. Additionally, if you have previously chosen one Product Area, you will only have the option to @ mention accordingly:
-
Using @this document with Outlook:
- If you have the Word add-in (or any other add-in besides Outlook) selected for the Product Area and then attempt to add the @this document reference, an error message will pop up when you try to save the Smart Skill after adding the Outlook add-in.
- If you have the Word add-in (or any other add-in besides Outlook) selected for the Product Area and then attempt to add the @this document reference, an error message will pop up when you try to save the Smart Skill after adding the Outlook add-in.
-
Using @this email with other add-ins:
- Conversely, if you select Outlook for the Product Area and then try to add the @this email reference before adding another add-in to the Product Area, you will encounter a similar error message when attempting to save the Smart Skill.
- Conversely, if you select Outlook for the Product Area and then try to add the @this email reference before adding another add-in to the Product Area, you will encounter a similar error message when attempting to save the Smart Skill.
Benefits of specifying a Smart Skill Product Area
By associating Smart Skills with specific Product Areas, users are presented with only those Smart Skills that are pertinent to tasks they usually accomplish in those areas. This ensures the Smart Skills they see are the Smart Skills that are most likely to be useful and relevant to what they are currently working on, and unclutters and simplifies the QorusDocs UI.
