How to create new documents and presentations using AI-Powered templates

This article is intended for users who want to learn how to use an AI-powered template to create new documents and presentations. QorusDocs users belonging to the Admin+AI and Designer+AI user roles can learn how to design AI-powered templates here.

AI-powered Smart Templates can save you hours, if not days, by automatically populating multiple sections of a proposal or a pitch deck with expertly tailored content in just a few minutes.

These are Word or PowerPoint templates that contain one or more embedded prompts (known as AI Text Smart Fields) that dynamically generate tailored content based on inputs you provide.

If you’re familiar with using a QorusDocs Smart Template to create new Word documents or PowerPoint presentations, the process is almost exactly the same, except that in the create form for templates that contain AI Smart Fields, there will be a location for you to provide the context QPilot needs to craft the right AI-generated content.

Here are the general steps:

1. Pick an AI-powered Smart Template
2. Select the document(s) QPilot should use for context
3. Run QPilot
4. Save and/or open the created document

This guide also covers the AI-Powered PowerPoint Presentation example and the Non-AI-User Create Experience.

1. Pick an AI-powered Smart Template

Start by locating the AI-powered Smart Template you would like to use (for example, from the Search, Recommended Content in a Pursuit, or in your Favorites), and then click on ‘Create’:

2. Select the document(s) QPilot should use for context

In the ‘Create’ form that pops up next on your screen, there will be one or more Smart Fields. These fields play the important role of capturing the information your template requires, so that QorusDocs can instantly personalize the new document or presentation you’re creating. In some cases, you will need to fill these in, and in others, it might already be pre-filled with information already captured that you can simply review and verify before creating a new document or presentation.

With AI-powered Smart Templates, you will also see the option to ‘Select Contents’ towards the top of the form, as well as a QPilot icon next to each AI Smart Field. These fields require additional context, and this can come from Recently Used and/or Pursuit Content:

Recently Used Content

When you click on ‘View Recently Used’ this will bring up a list of documents you have personally recently used on the right hand side of the form. From there, you can choose one or more documents from the list by clicking on the ‘Insert’ icon next to each document.

Once you’ve gathered the content you need, click on ‘Run QPilot’ to execute the underlying prompts for each AI Smart Field.

Pursuit Content

If you’re working within the context of a Pursuit, you will also have the option to view and select documents from the Pursuit Content in addition to Recently Used files. The way this works is exactly the same as illustrated in the GIF above. Simply click on ‘Pursuit Content’, then use the content selection panel on the right to view and select the files you would like QPilot to use.

3. Run QPilot

Remember to click on ‘Run QPilot’ to populate your AI text fields after selecting the document(s) you want QPilot to use as source references.

This is completely optional, but if you would like to preview the underlying prompt and the generated QPilot response, you can do that by clicking on the QPilot Preview button for each AI text Smart Field.

Clearing and re-running AI Text Smart Fields

Once all your AI Text Smart Fields have been populated, the ‘Run QPilot’ button is automatically greyed out to indicate there are no fields left to run.

If you would like to regenerate a response, for example after selecting different or additional context from your Recently Used or Pursuit Content, hover over an AI Text Smart Field that already has a generated response to reveal a Clear (X) option. Clicking it clears that response and re-enables ‘Run QPilot’, so you can re-run QPilot for just the fields you want to update.

In our example, all the Smart Fields in this template are AI Text Smart Fields, except for the last field labelled “Headshot,” which is an Image Smart Field that needs to be handled manually. If your template has a mix of AI Text Smart Fields and other types of Smart Fields, follow the instructions on your form to complete all the fields required.

4. Save and/or open the created document

Once your document has been generated, you can open it in Word and continue to edit it, just as you would any other Word document.

AI-Powered PowerPoint Presentation

For our PowerPoint AI-powered template example, we will be building a proposal presentation based on a recent call transcript from a sales agent’s conversation with a prospective client.

This presentation aims to effectively highlight the key challenges and proposals discussed during the call, ensuring that the content resonates with the client’s needs. By utilizing AI Text Smart Fields, you will be able to dynamically extract relevant information from the transcript and create a compelling, tailored pitch deck that enhances your chances of success.

The steps to generate a PowerPoint presentation from an AI-powered template are the same as for Word documents: select documents for context, Run QPilot, complete any remaining fields in the form, and create your presentation.

We’ve illustrated these steps in the GIF below:

Non-AI-User Create Experience

You can still create documents and presentations from templates that contain AI Text Smart Fields, even if you don’t have a QPilot license.

However, please note that you will not have the option to select a document for QPilot to reference, or the “Run QPilot” button.

So, what does this mean for non-AI users? They can still utilize the AI Text Smart Fields as standard text fields, which means all information will need to be entered manually.

Here’s what their experience will look like:
