How to create new documents and presentations using AI-Powered templates

This article is for users with a QPilot license and serves as a guide on using AI-powered templates. In QorusDocs, an AI-powered template is a Word or PowerPoint template that contains one or more AI Text Smart Fields. Behind the scenes, each AI Text Smart Field contains an underlying prompt which dynamically generates text based on the prompt and on inputs you provide when you use the template.
AI-powered templates can save you hours, if not days, by automatically populating multiple sections of a proposal or a pitch deck with expertly crafted tailored content in just a few minutes.

Learn how to create an AI-Powered PowerPoint Presentation with QPilot

QorusDocs users belonging to the Admin+AI and Designer+AI user roles can learn how to design AI-powered templates here. This article is intended for users who want to learn how to use an AI-powered template to create new documents and presentations.
For our examples, we’ll use a Resume/Bio for the Word document and a call transcript to create a sales pitch in PowerPoint. By providing practical use cases and step-by-step instructions, this guide will help you effectively leverage AI in your document creation process. Let’s get started!

AI-Powered Word Document

For our Word AI-powered template, let’s imagine a scenario where you’re working on a Pursuit and you need to create a bio for a consultant using their CV.
We’ll assume that you have an AI-powered template readily available in your QorusDocs for this purpose, and that this template is part of the Recommended Content for the type of Pursuit you’re working on. Here are the steps you would follow:

  1. From within the Pursuit, navigate to the “Recommended” tab
  2. Select the template you need (in this example, its called "Tailored Resume.docx"
  3. Expand the menu by clicking on the ellipse button
  4. Select “Create”

After you click “Create”, a form will appear prompting you to take the first step: selecting a document from the dropdown menu, as shown in the GIF below. The document you choose will serve as context for the AI Text Smart Fields in the template when executing the underlying prompts.

Best Practice Tip: For the best results, only select documents with content that is relevant to the prompts in the AI Text Smart Fields for your AI-Powered Template.

After selecting the document you click “Run QPilot” to populate your AI text fields, the QPilot Preview button allows you to view the underlying prompt and response for each AI text Smart Field.

In our example, all the Smart Fields in this template are AI Text Smart Fields, except for the last field labelled "Headshot," which is an Image Smart Field that needs to be handled manually. If your template has a mix of AI Text Smart Fields and other types of Smart Fields, follow the instructions on your form to complete all the fields required.

Once your document has been generated, you can open it in Word and continue to edit it, just as you would any other Word document.

AI-Powered PowerPoint Presentation

For our PowerPoint AI-powered template example, we will be building a proposal presentation based on a recent call transcript from a sales agent’s conversation with a prospective client.

This presentation aims to effectively highlight the key challenges, and proposals discussed during the call, ensuring that the content resonates with the client's needs. By utilizing AI Text Smart Fields, you will be able to dynamically extract relevant information from the transcript and create a compelling, tailored pitch deck that enhances your chances of success.

The steps to generate a PowerPoint presentation from an AI-powered template are the same as for Word documents: select documents for context, Run QPilot, complete any remaining fields in the form, and create your presentation.

Non-AI-User Create Experience

You can still create documents and presentations from templates that contain AI Text Smart Fields, even if you don’t have a QPilot license.

However, please note that you will not have the option to select a document for QPilot to reference, and the "Run QPilot" button.

So, what does this mean for non-AI users? They can still utilize the AI-text Smart Fields as standard text fields, which means all information will need to be entered manually.
