Clip and save content

The QorusDocs Clip makes it possible for your whole user community to contribute their knowledge to your shared content libraries. It is especially useful for situations where you couldn’t find the content you were looking for, and had to either create something from scratch or ask for help to get it done, and you would like to be able to re-use that content in other documents in the future.

With QorusDocs, you can create brand new, short, and re-usable Word documents, using content that you select from the body of documents, emails, presentations, and spreadsheets you’re working on, and using the Clip functionality in the QorusDocs Add-ins for Word, PowerPoint, Excel, and Outlook.

You can clip and save content to your OneDrive for Business, Microsoft Teams or SharePoint Online. Your organization may have an approval process that your clipped content must go through first before it is made searchable and available for general use – but this is entirely optional and varies from one organization to the next.

Please note the following:

  • Before you can make use of the QorusDocs Clip to save re-usable content to SharePoint Online, there's some setup required. If you're working with OneDrive for Business or Microsoft Teams however, you can jump right in and follow the steps below.
  • Clipping entire Slides, including their shapes, in PowerPoint is not possible
  • All clipped content is saved as MS Word files.

1. How to Clip Content

Start by selecting the text you'd like to save for future re-use, and then in the top nav of the QorusDocs Add-in, click on 'Clip'.

To save you time, QorusDocs will automatically pop the first few characters of your selected text in the 'Name' field. You can, however, provide a more meaningful name by typing within the 'Name' text box. 

Next, pick where you'd like to have the new document saved, and then click on 'Save':

Click on "Click here to add filters and other details" (optional) to add the necessary metadata to your clipped content. Once you've added the metadata, you will find your recently clipped document in the selected SharePoint Online library.

This new document only contains the text and the image selected and clipped from the original document, with the given 'Style Template'.

2. How to Clip content as refreshable

The QorusDocs Clip 'Save as refreshable content' option keeps a link between the selected content in the original document, and the body of the clipped document saved to the cloud.

This enables the powerful two-way QorusDocs Refresh capability where updates in either document can be synced to the other document. In other words, if someone updates the clipped version stored in the cloud, you can use QorusDocs to automatically Refresh and update the document you’re currently working on. You can learn more about how this works here.   

To save you time, QorusDocs will automatically pop the first few characters of your selected text in the 'Name' field. You can, however, provide a more meaningful name by typing within the 'Name' text box. Next, pick where you'd like to have the new document saved, and then click on 'Save':

With the ‘Save as refreshable’ option selected, you’ll notice a grey content control around the content you’ve clipped. This is what enables the link for the two-way Refresh.

To see the clipped content linked to the Refresh, click on the ‘more’ menu in the top nav, and then on ‘Refresh’:

This will take you to the ‘Refresh’ pane, where you can see the full list of all the refreshable links in the document:

3. How to access 'Recently Clipped' documents

You can quickly access all your recently clipped content directly from the ‘Home’ pane:

Here, you’ll find a list of the last ten files you clipped with QorusDocs:

 

4. Add a style template

Clipping can be a drag when you have to go back later and add all your styles. Now, a Word Style Template can automatically apply those styles when using Clipping from a Word document.

Unique Style Templates can be used for each Content Source:

Select the “Use Style Template” box to have those styles automatically applied to the clipped document:
