Search SharePoint Online Libraries

With Qorus, you can get quick and easy access to your SharePoint Online Library files from any one of the Qorus Add-ins for Office 365, enabling you to find and re-use your best content in your documents, emails and presentations. 

Before you can search SharePoint Online Libraries, these need to be connected to Qorus first.

Please note: As you go through the steps described in this article, you should know that it's possible to have more than one SharePoint Online Library content source, and that you can name each one with names that are unique and meaningful to your business. The names of the SharePoint Online Library content sources in the screenshots below are for illustration purposes only, and are likely to be different to the names used in your organization. 

In this article, we'll explain how to:

  1. Select a SharePoint Online Library content source as your search location
  2. Use the search box, with predictive search suggestions and auto-search options
  3. Target the search at a specific folder
  4. Use Keywords to improve the search
  5. Limit results to specific file types

 

1. SELECT A SHAREPOINT ONLINE LIBRARY CONTENT SOURCE AS YOUR SEARCH LOCATION

To get started, the first thing you'll need to do is select the SharePoint Online Library content source you'd like to search and work with, from the list of content sources connected to Qorus. In the screenshot below, the 'Sales Libraries' content source is a SharePoint Online library content source:

2. USING THE SEARCH BOX

Typing a search term or a search phrase into the Search Box is usually where most people start when looking for content - and that's perfectly fine. There are however a few tips and tricks with using the search box provided by the Qorus Add-ins, that can help you find the right content quicker.

These include: 

    • Automatically filling in the search box with selected text
    • Automatically executing a search based on selected text
    • Predictive Search Suggestion functionality
    • Advanced Search options for Power Users
  • Automatically fill the search box with selected text

By default, when you select text within a document, email or presentation, we'll pop your selection into the search box.

  • Automatically execute a search based on selected text

If you'd like Qorus to not only fill the search box with your selected text, but also execute the search immediately, you can turn the 'Auto Search from Selection' option on.

  • Predictive Search Suggestions

As you type in the search box, Qorus intelligently predicts the best performing search term related to your current search. A 'best performing search term' can be defined as a search term that was used to find useful content, that was inserted into an email, document or presentation using Qorus. 

To use the suggested search term, simply click on it to auto-complete your search and find the right content faster:

  • Advanced Search options for Power Users

If you're a power user, you might be pleased to know that Qorus supports the use of operators as well as Microsoft's KQL for more advanced search queries. To learn more about this, click here

3. TARGET THE SEARCH AT A SPECIFIC FOLDER

If you're getting too many search results, or if you know where you'd like Qorus to focus the search, then you can use the Target refiner. 

First, click on the Target header to expand it (1), then drill into the library and/or folder hierarchy (2):

To target the search to a particular location, click on the name of the folder or library (1). You'll notice that the place you're targeting will be displayed next to the Target header. 

Please note that you can only select one Target location at a time. Selecting a folder will result in that folder, as well as all of its sub-folders, being included in the search scope:

4. USE ONE OR MORE KEYWORDS TO IMPROVE THE SEARCH

If keywords have been defined in the Qorus Management Portal, then you can select one or more keywords to help improve your search. 

First, click on the Keywords header to view the keyword groups associated with the source of content you're searching (1):

In this example, the keyword groups are 'Region' and 'Content Category'. To expand a keyword group, click on the keyword group name - see (1) in the screenshot below. 

Since it is possible to organize keywords in a hierarchy, you may find that some of your organization's keywords have a '+' sign next to them. If that's the case, simply click on the '+' sign to expand and view the lower-level and more granular keywords available (2):

You may include more than one keyword in your search if you'd like, and keywords can be selected from any level if yours are organized in a hierarchy. To select a keyword, simply click on it, and once selected, it will be displayed on the Keywords header bar:

5. LIMIT RESULTS TO SPECIFIED FILE TYPES

One easy way to refine search results is to limit the search to return only the file types that you select:
